Redesigned procedure page
We keep expanding our AI-related features. We already had cash forecasting on the dashboard and this time the procedure settings page gets an AI treatment.
Instead of cash forecasting for all customers, it is now limited to the customers belonging to a procedure. When you now arrive on the procedure settings page you will see for every procedure a graph with the payment probability of all the invoices over time (‘our first timeline’) and just below a second timeline with all the procedure steps dates (or dots). Below you’ll see all the procedure steps with linked actions and payment behavior.
The first timeline tells you the period in which the procedure can have an effect and starts from the moment invoices become overdue. This bar (the moment invoices become overdue) acts as an anchor point. Let’s say this bar has a percentage of 79%. This means that at the moment invoices become overdue there is a probability that 79% of the invoices in this procedure will already be paid. After 1 week an additional 6% of the due invoices will probably be paid; after two weeks 2%, and so on.
Optimize the impact of your procedures
The second timeline allows you to optimize the payment probability. In other words: you can change the timing of the procedure steps and see what the impact is on the payment probability. You just drag any dot on the timeline and see in the above graph what the effect is. If the bar turns purple, the payment probability for that procedure step has grown. Again, any growth is indicated with a percentage above the bar.

Notes
Last user notes
When you manually add a user note for one or more documents and afterwards change the status for these documents, you can now see your last note in the description field. It also works the other way around: when you add a note when changing the status, you see this as a last user note on the document.
Optimized note linking to multiple documents
We’ve also made it easier selecting which documents to link to a note. Previously for every document only the document number and amount was visible (example: Document #800 (726,00 EUR). We’ve kept the document number but now also show the issue date, the remaining amount in the original currency and the document status (this last one in between brackets).
Create notes for user tasks
You could create and assign user tasks, but these tasks didn’t appear in all the notes on the client page or on the document notes page. Now, you can see which tasks were created and/or completed, and you can go to the task with one click from the notes page. This is valid for tasks linked to a client, a document or a message.
Long document notes look better now
Long document notes don’t always show up nicely on the client page, especially in the document column. With the new hyperlink you can mouse hover and see a preview with the text of the document note, or click on the link to see the full content of the note.
Document numbers on notes
When you change the status of a document, a note gets automatically created. Document numbers are now added to this note, so you know what documents were ‘touched’.
Manual procedure optimization
When moving a customer to manual procedure, you can now indicate a reason. In the note that gets created afterwards you see this exact reason. Also added is other helpful information, such as the type of procedure step and the date of the manual procedure step. When it’s a reminder or warning action we show their respective names, and in case of the warning action also the procedure’s name.
Messages
Change the mailbox for processing workspace list items
In V26 the default mailbox behavior was changed. Since then you can, based on for example the customer type or the progress of the procedure, select a default mailbox or other active mailboxes you want to use. But this was limited to individual messages. On the worksheet you can now select a mailbox to process selected workspace list items in bulk.
Select a mailbox in the task configuration
For sending dynamic reports via email you can use the task configurator. Emails are then sent out from the default mailbox: noreply@yourdomain. But, sometimes you want to send out reports to your clients’ customers and the mailbox should be that of the client so any replies will arrive at this mailbox. In the task configurator you can now select other mailboxes.
Save emails as .eml files
Any incoming emails can be saved as .eml files so they can be stored offline or used as an attachment.
Compose an email directly from the contact’s email address
No need anymore to copy email addresses within iController just to compose a new message. Just click on the email address of a customer, any contact or representative on the client sheet, and a new email is opened with the email address already in place.
User-defined message templates
You can now create and use your own message templates. This time saving feature comes in handy when composing the same messages or replies to customers all the time.
Larger attachments
Attachments in emails were limited to 10MB. We’ve increased this to 25MB for all attachments in the same email. This should help when scanning documents to PDFs.
More relevant document overview for customers
When moving documents to a certain status, for example invoices in dispute, and sending an email with a document overview to the customer, you now have more flexibility. You can opt to only show the documents with a changed status, show all documents, or show a number of documents you manually selected.
Payments
Optimizing online payments
You’ve activated online payments through a payment service provider (PSP) in the Marketplace? Then we have good news: we have optimized the way we communicate with the payment service providers (PSP).
It is now possible to use your own document payment reference as a structured message to the PSP. You can use the payment reference from your own ERP or use custom logic in iController to build a payment reference. This payment reference will be communicated to the PSP each time an individual invoice is paid. When you don’t use the document payment reference the document number will be sent to the PSP. When trying to pay more than 1 document then we communicate the debtor reference to the PSP disregarding the individual document payment references.

We can enable an option that forces the individual payments of invoices, in this case the debtor will not have the option to select multiple invoices and proceed to the payment. They’ll need to pay each invoice individually while we make sure the document payment reference is communicated for each payment and make it easy to match payments to invoices.
The document payment reference can be used as a replaceable tag in the templates and can be found in the dynamic reporting module.
Everytime the reminder contains more than 1 invoice, or when partial payments or procedure step costs are enabled in your platform, then we show an intermediate screen where your customers can select the invoices to pay, change amounts, and are informed of these extra costs. The procedure step costs can now be paid using a PSP.
Exports & API
Outsource API
When outsourcing documents you want to make sure certain data can not be viewed by the external partner. A new outsource API makes this possible. For example an external collection agency only needs to see the outsourced documents and data linked to a specific outsource code and limited to the configured customer export configuration.
API endpoints
In case of multiple custom statuses, the API is now able to define the actual custom status.
More (custom) fields in customer exports
We’ve added extra fields for exporting customer data including custom ones, on both debtor and document level. You can also select fields for contacts and the new category representatives.
Disputes
Add attachments to comments in Channel
Composing a new internal or external comment in Channel, our dispute management solution? You now have the option to add an attachment.
More streamlined communication in Channel
In Channel, when you have a dual role in a case (delegate and follower), you previously received the same two emails when a comment was placed. With this quick fix you now only receive one mail, as the delegate. Delegates receive internal and external communication. Followers receive only external communication.
Small improvements
Language
When system admins need to change the language settings of other users, they can now see the language selector for these users in their own language. And if a system admin wrongfully changes their own language to another one, they can just see for example Nederlands (België) when in another language.
Adjust the call back date
When you’ve just made a telephone call but the customer wants you to call back on a later date, you could select a call back date when processing the phone call. But editing this date afterwards - in case an accidental error was made - was not possible until now.
Page breaks in templates
A new option is available when creating templates for PDFs. With page breaks your lay-out will now look better than ever, for example a document overview template.
Improved Excel attachments
In our last release we made it possible to send excel attachments but this was limited to text format. In the template settings you can now determine the appearance of the excel attachment and choose what kind of columns are shown. An easy preview helps visualize the excel file before you send it to customers.
Status assigner
When assigning documents to certain statuses in the status assigner it is now possible to give the right status code to the document in this status.
Changing payment plans
On a payment plan you can change the installment amounts of the monthly payments before generating the payment plan again. We have now made sure that paid or partial paid installments don’t get altered when doing this.
