At the start of your workday, we advice you to check Messages, before sending out reminders. This way any new payment promises and new disputes come to your attention.
In general, we advice you not to use the mailbox in your mail program. iController gives you the opportunity to have a complete overview of your messages in one platform, whereas the messages can be centralized on client level.
How to use the mailbox in iController
At the top of the message list you can see the different mailboxes installed in iController.
You can click on each of them to see all incoming messages on the email address.
Creating a new email message
When you want to send out a new email, there are 2 ways to compose an email.
- Directly in Messages:
Go to Messages in the top navigation bar. Use the New Message button to create a new email. - From the client sheet:
When using this option, the email message is automatically linked to the client.
In the left menu on the client sheet select Messages. Use the New Message button to create a new email.
All messages remain available on this page of the client sheet.
Mailbox: Folders
Drafts
In this folder you find concept emails that were created but haven't been sent (either from the client sheet or the messages page).
Trash
Contains the deleted messages.
Spam
Speaks for itself. Here are all the junk mails.
Mailbox: Inbox
When there is a grey globe visible in the beginning of the line, this means the (new) message hasn't been processed.
Reading a new email
When you open the email by clicking on the subject line, you can perform different actions.
Labels
This can be used to structure your internal workflow. For example creating label folders ‘to process later on’, ‘to discuss’, or create labels colleagues' names.
Create new labels in the left menu on the main Messages page.
When you label an email, this message will remain visible in the main messages folder as well as in the folder appearing underneath ’labels’. Why?
Clients
Start typing the debtor reference or name and select the correct client. As soon as you link the correct client to an email and close the message, by clicking on Done, the email traffic can be consulted on the client sheet in the left menu Messages.
Done
When the correct client is linked and the message is marked as Done, the email will disappear from your inbox or label folders. You can now consult these messages exclusively on the client sheet.
Reply
Answer incoming messages.
Forward
Forward an email.
Print
Print the email (but think twice before printing the email message...)
Create case
Only visible when the module Channel is activated. You can easily create a case from an incoming email.
New task
Based on email content, you can decide to create a task. For example take a dispute for discussion with the manager.
Delete
Remove the email from the inbox and client sheet.
